This guide will go through the process<\/h2>\n\n\n\n<p class=\"is-style-info wp-block-paragraph\">It is possible within Osprey to set some letters to time record, others not and those which do charge to charge at different rates. Legal aid matter letters always time record at the rate allowed by the LAA according to the remuneration type of the matter. You can have standard letters time recording on either an Hourly or Fixed rate basis.<\/p>\n\n\n\n<p class=\"h2 wp-block-paragraph\">Standard Letter Charging &#8211; System<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Navigate to your \u2018Supervisor\u2019 tab on the side menu. Now select \u2018System Setup\u2019 and then click on \u2018Configuration Settings\u2019 to bring up a list of system switches. <\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"252\" height=\"382\" src=\"https:\/\/support.ospreyapproach.com\/content\/uploads\/sites\/2\/2019\/09\/image-307.png\" alt=\"\" class=\"wp-image-2428\" srcset=\"https:\/\/ospreyapproach2022.wireddemo.co.uk\/content\/uploads\/sites\/2\/2019\/09\/image-307.png 252w, https:\/\/ospreyapproach2022.wireddemo.co.uk\/content\/uploads\/sites\/2\/2019\/09\/image-307-198x300.png 198w\" sizes=\"auto, (max-width: 252px) 100vw, 252px\" \/><\/figure>\n<\/div>\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Search for \u2018Standard Letter Time Recording\u2019, right-click on the configuration setting and then select \u2018Edit\u2019.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You can select \u2018Hourly\u2019, \u2018Fixed\u2019 or \u2018None\u2019 from this drop-down list.<\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"569\" height=\"163\" src=\"https:\/\/support.ospreyapproach.com\/content\/uploads\/sites\/2\/2024\/05\/image-587.png\" alt=\"\" class=\"wp-image-67557\" srcset=\"https:\/\/ospreyapproach2022.wireddemo.co.uk\/content\/uploads\/sites\/2\/2024\/05\/image-587.png 569w, https:\/\/ospreyapproach2022.wireddemo.co.uk\/content\/uploads\/sites\/2\/2024\/05\/image-587-300x86.png 300w\" sizes=\"auto, (max-width: 569px) 100vw, 569px\" \/><\/figure>\n<\/div>\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Once you have selected the value, click on the \u2018Save\u2019 icon to keep your changes and return to the \u2018Configuration Settings\u2019 list.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You are able to set a default fixed letter rate. Navigate to the \u2018Supervisor\u2019 area and select \u2018System Setup\u2019. Now click on \u2018System Settings\u2019.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">There will be an option for \u2018Standard Letter Price\u2019. Click the \u2018Edit\u2019 icon in the top left and amend this figure if you wish. Then select \u2018Save\u2019.<\/p>\n\n\n\n<p class=\"h2 wp-block-paragraph\">Standard Letter Charging &#8211; Individual Letters<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In addition to the above, you can set a fixed rate specific to a particular template. If this is set, then this will override the default fixed rate whether it is global, work type specific or on a private matter.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In your \u2018Supervisor\u2019 area, select \u2018Case Management Setup\u2019 and then click on \u2018Standard Documents\u2019. Now right click on the letter you want to add a rate for and press \u2018Rate\u2019<\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"131\" height=\"184\" src=\"https:\/\/support.ospreyapproach.com\/content\/uploads\/sites\/2\/2024\/05\/image-588.png\" alt=\"\" class=\"wp-image-67558\" \/><\/figure>\n<\/div>\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"287\" height=\"96\" src=\"https:\/\/support.ospreyapproach.com\/content\/uploads\/sites\/2\/2024\/05\/image-589.png\" alt=\"\" class=\"wp-image-67559\" \/><\/figure>\n<\/div>\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Click the \u2018Save\u2019 button. You can link as many remuneration types to a template as you wish.<\/p>\n\n\n\n<p class=\"is-style-default wp-block-paragraph\">With the \u2018Hourly Rate\u2019 option, standard letters will time record at the fee earner\u2019s hourly rate for the remuneration type set against the matter.<\/p>\n\n\n\n<p class=\"is-style-info wp-block-paragraph\">If the Fee Earner is linked to the remuneration type, then this rate will be used. If the Fee Earner is not linked to the remuneration for this matter the default rate for the remuneration type will be used.<\/p>\n\n\n\n<p class=\"is-style-info wp-block-paragraph\">The time costing is calculated as follows:<br><strong>Fee Earner rate x Base Rate % x Rate in Minutes \/ 60 = charge rate<br>e.g. a) \u00a3300 x 100% x 6\/60 = \u00a330.00<br>e.g. b) \u00a3300 x 50% x 6\/60 = \u00a315.00<\/strong><\/p>\n\n\n\n<p class=\"is-style-info wp-block-paragraph\">The \u2018Rate in Minutes\u2019 has to be set for each template.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Go to your \u2018Supervisor\u2019 area, select \u2018Case Management Setup\u2019 and then click on \u2018Standard Documents\u2019.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Click on the \u2018Rate\u2019 button against the required template as described above, enter the rate and submit.<\/p>\n\n\n\n<p class=\"is-style-info wp-block-paragraph\">Please note that if the rate is set to 6, the letter will time record as 6 mins. If the rate is set to 0, the letter will time record as 0 mins, e.g. \u00a30.00. If the rate is left blank, the letter will time record at the Default Fixed Letter Rate set in System Settings<\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"479\" height=\"203\" src=\"https:\/\/support.ospreyapproach.com\/content\/uploads\/sites\/2\/2024\/05\/image-590.png\" alt=\"\" class=\"wp-image-67560\" srcset=\"https:\/\/ospreyapproach2022.wireddemo.co.uk\/content\/uploads\/sites\/2\/2024\/05\/image-590.png 479w, https:\/\/ospreyapproach2022.wireddemo.co.uk\/content\/uploads\/sites\/2\/2024\/05\/image-590-300x127.png 300w\" sizes=\"auto, (max-width: 479px) 100vw, 479px\" \/><\/figure>\n<\/div>\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The Base Rate can be set on any Work Type specific template. It will then apply to all templates for that Work Type and Global templates when they are merged on a matter of this Work Type.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">To set the Base Rate, go to your \u2018Supervisor\u2019 area, select \u2018Case Management Setup\u2019 and then click on \u2018Standard Documents\u2019. Now click on the \u2018Rate\u2019 button against the required template Work Type specific template. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Click on the \u2018Set Base Rate\u2019 button.<\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"241\" height=\"129\" src=\"https:\/\/support.ospreyapproach.com\/content\/uploads\/sites\/2\/2024\/05\/image-591.png\" alt=\"\" class=\"wp-image-67561\" \/><\/figure>\n<\/div>\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Enter the Base Rate. this is the percentage of the Fee Earner\u2019s Rate you wish to be used, so set to 100.00 if you wish to time record at the Fee Earner\u2019s rate.
