(If logged in as a client, the matter list will be the only option). This will then list any documents published to the deal room.<\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"856\" height=\"403\" src=\"https:\/\/support.ospreyapproach.com\/content\/uploads\/sites\/2\/2024\/04\/image-352.png\" alt=\"\" class=\"wp-image-64743\" srcset=\"https:\/\/ospreyapproach2022.wireddemo.co.uk\/content\/uploads\/sites\/2\/2024\/04\/image-352.png 856w, https:\/\/ospreyapproach2022.wireddemo.co.uk\/content\/uploads\/sites\/2\/2024\/04\/image-352-300x141.png 300w, https:\/\/ospreyapproach2022.wireddemo.co.uk\/content\/uploads\/sites\/2\/2024\/04\/image-352-768x362.png 768w\" sizes=\"auto, (max-width: 856px) 100vw, 856px\" \/><\/figure>\n<\/div>\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The following options are available,<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">(Options will be dependent on the permissions of the Associate or Client)<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The Create New Icon:<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"134\" height=\"64\" src=\"https:\/\/support.ospreyapproach.com\/content\/uploads\/sites\/2\/2024\/04\/image-353.png\" alt=\"\" class=\"wp-image-64744\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">Enables the option to browse and upload any document type to a specified Client and matter.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The Download Icon<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"45\" height=\"38\" src=\"https:\/\/support.ospreyapproach.com\/content\/uploads\/sites\/2\/2021\/07\/image-3.png\" alt=\"\" class=\"wp-image-34745\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">Selecting this option allows a user to download a copy and save locally.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The Preview Icon<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"43\" height=\"34\" src=\"https:\/\/support.ospreyapproach.com\/content\/uploads\/sites\/2\/2021\/07\/image-4.png\" alt=\"\" class=\"wp-image-34746\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">Selecting this option opens a preview screen<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Document History<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"37\" height=\"34\" src=\"https:\/\/support.ospreyapproach.com\/content\/uploads\/sites\/2\/2021\/07\/image-5.png\" alt=\"\" class=\"wp-image-34747\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">Selecting this option will show all history on the document such as date created, revision comments and version number.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Check Out<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"39\" height=\"40\" src=\"https:\/\/support.ospreyapproach.com\/content\/uploads\/sites\/2\/2021\/07\/image-6.png\" alt=\"\" class=\"wp-image-34748\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">This option enables the Client or Associate to automatically download a copy of the item to make changes. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Once selected, a comments box will appear allowing comments to be made, these comments are then visible to any users viewing the document within Osprey<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Check In<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"43\" height=\"37\" src=\"https:\/\/support.ospreyapproach.com\/content\/uploads\/sites\/2\/2021\/07\/image-8.png\" alt=\"\" class=\"wp-image-34750\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">This option allows the Client or Associate to browse and upload changes made to checked out items. When changes are made within the deal room, either checking in in or out, email notification is sent to relevant parties notifying them.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Undo Pending Changes<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"40\" height=\"34\" src=\"https:\/\/support.ospreyapproach.com\/content\/uploads\/sites\/2\/2021\/07\/image-10.png\" alt=\"\" class=\"wp-image-34752\" \/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">Selecting this option will undo the previously checked in document<\/p>\n\n\n\n<p class=\"h2 wp-block-paragraph\">To Check out a document to make changes<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Select the Check Out icon next to the document to be amended.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The following screen will appear:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Enter a comment, select Check Out.<\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"819\" height=\"378\" src=\"https:\/\/support.ospreyapproach.com\/content\/uploads\/sites\/2\/2024\/04\/image-354.png\" alt=\"\" class=\"wp-image-64745\" srcset=\"https:\/\/ospreyapproach2022.wireddemo.co.uk\/content\/uploads\/sites\/2\/2024\/04\/image-354.png 819w, https:\/\/ospreyapproach2022.wireddemo.co.uk\/content\/uploads\/sites\/2\/2024\/04\/image-354-300x138.png 300w, https:\/\/ospreyapproach2022.wireddemo.co.uk\/content\/uploads\/sites\/2\/2024\/04\/image-354-768x354.png 768w\" sizes=\"auto, (max-width: 819px) 100vw, 819px\" \/><\/figure>\n<\/div>\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A prompt should pop up giving the option to open or save.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Select \u2018Open\u2019 to make changes immediately then re-save locally, or select \u2018Save\u2019 to amend later on.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">To check the item back in with the newly saved changes, click the \u2018Check In\u2019 icon.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The following screen will appear allowing you to browse for the amended file.<\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"819\" height=\"416\" src=\"https:\/\/support.ospreyapproach.com\/content\/uploads\/sites\/2\/2024\/04\/image-355.png\" alt=\"\" class=\"wp-image-64746\" srcset=\"https:\/\/ospreyapproach2022.wireddemo.co.uk\/content\/uploads\/sites\/2\/2024\/04\/image-355.png 819w, https:\/\/ospreyapproach2022.wireddemo.co.uk\/content\/uploads\/sites\/2\/2024\/04\/image-355-300x152.png 300w, https:\/\/ospreyapproach2022.wireddemo.co.uk\/content\/uploads\/sites\/2\/2024\/04\/image-355-768x390.png 768w\" sizes=\"auto, (max-width: 819px) 100vw, 819px\" \/><\/figure>\n<\/div>\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A comment is compulsory at this time. This is generally a brief description of the changes made and will be visible in the revision history.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Click Choose File to browse for the required document, then select check in. If the file was saved with a different name, you will receive a prompt asking you if you do wish to save with a different file name. Click ok if you wish to continue.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You will see a notification confirming the item has been checked in.<\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"325\" height=\"98\" src=\"https:\/\/support.ospreyapproach.com\/content\/uploads\/sites\/2\/2024\/04\/image-356.png\" alt=\"\" class=\"wp-image-64747\" srcset=\"https:\/\/ospreyapproach2022.wireddemo.co.uk\/content\/uploads\/sites\/2\/2024\/04\/image-356.png 325w, https:\/\/ospreyapproach2022.wireddemo.co.uk\/content\/uploads\/sites\/2\/2024\/04\/image-356-300x90.png 300w\" sizes=\"auto, (max-width: 325px) 100vw, 325px\" \/><\/figure>\n<\/div>\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"h2 wp-block-paragraph\">Finalising Documents published to the Osprey Deal Room<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Once an agreement has been made in relation to changes to a document, the document is finalised.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Finalising a document will disable the check out option from the Deal Room.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>To Finalise a version:<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Ensure you have the relevant client and matter selected, then from within Matter History, select the Deal room folder to reveal any published documents.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Right click the document in question and then select \u2018Finalize version\u2019.<\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"224\" height=\"113\" src=\"https:\/\/support.ospreyapproach.com\/content\/uploads\/sites\/2\/2024\/04\/image-357.png\" alt=\"\" class=\"wp-image-64748\" \/><\/figure>\n<\/div>\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Click \u2018ok\u2019 in the confirmation screen.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you wish to reverse this action, right click and you will now see the option to \u2018Unfinalise version\u2019 with a prompt to confirm once selected.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Any finalised version can then be unpublished from the deal room which in turn, will remove from the deal room altogether.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>The Deal Room contains documents to be used collaboratively by the clients and their associates, an example might be for negotiating contracts. <\/p>\n","protected":false},"author":5696,"featured_media":0,"template":"","categories":[14],"tags":[],"class_list":["post-30089","pracctice_guide","type-pracctice_guide","status-publish","hentry","category-using-web-access-portal"],"acf":{"display_as_dashboard_announcement":false,"announcement_title":"","announcement_type":"New feature","announcement_link_text":"Learn more","announcement_image":null},"yoast_head":"<!-- This site is optimized with the Yoast SEO plugin v26.8 - https:\/\/yoast.com\/product\/yoast-seo-wordpress\/ -->\n<title>Accessing File Sharing\/Upload Via the Web Portal | Osprey Academy \u2013 Customer support and training centre<\/title>\n<meta name=\"description\" content=\"How to access file sharing and uploading via the Osprey web portal.
