The Osprey Office Connector allows you to set up interactivity between Microsoft Word, Microsoft Excel and Osprey. This guide will take you through installing and using the add-in.<\/h2>\n\n\n\n

Install the add-in<\/p>\n\n\n\n

First you will need to install the Office add-in. Close ALL active programs currently running on your machine before proceeding.<\/p>\n\n\n\n

Click here<\/a> to begin downloading the add-in.<\/p>\n\n\n

Click \u2018Install\u2019 and a progress bar will appear showing the progress of the install. Select \u2018OK\u2019 once the installation has completed to finalise the registration. <\/p>\n\n\n

Using the Word add-in<\/p>\n\n\n\n

Once installed, open Microsoft Word and you will see an additional menu item in the word toolbar as shown below.<\/p>\n\n\n\n

<\/p>\n\n\n\n

Before using the add-In, you must firstly apply the relevant settings. You are required to enter your URL and your username and password. If you do not enter the correct settings, you will be unable to use the application.<\/p>\n\n\n\n

Click on the \u2018Osprey Approach\u2019 tab and then select \u2018Settings\u2019.<\/p>\n\n\n

Enter your URL into the \u2018Site URL\u2019 box. Please remember to include the https:\/\/ prefix to your URL, so it should display as below.<\/p>\n\n\n

Now click \u2018Save\u2019 to keep your settings. <\/p>\n\n\n\n

Now select the option to \u2018Login\u2019 on the OspreyTM tab. Enter your username and password, then click \u2018Login\u2019.<\/p>\n\n\n

All icons on the OspreyTM tab should now be available.<\/p>\n\n\n\n

Once logged in, the \u2018Login\u2019 icon\nwill have changed to display an option to \u2018Logout\u2019, as shown above. Click this\nto log out of the Word add-in.<\/p>\n\n\n\n

From within Microsoft Word, the Office Add-In will allow you to:<\/p>\n\n\n\n

    \n
  • Select and open any existing Osprey Word\nTemplates from a client\u2019s file and then edit and save to a their Osprey matter\nhistory.<\/li>\n<\/ul>\n\n\n\n
      \n
    • Create a new word document and add it to the\nmatter history of a specified Client.<\/li>\n<\/ul>\n\n\n\n
        \n
      • View and amend matter history documents<\/li>\n<\/ul>\n\n\n\n
          \n
        • Run and load workflows.<\/li>\n<\/ul>\n\n\n\n

          There is no need to have the Osprey application open; you just need to ensure you are logged in through Word.<\/p>\n\n\n\n

          Running standard documents<\/p>\n\n\n\n

          First, we will look at opening an Osprey document through the add-in from your standard documents area.<\/p>\n\n\n\n

          Click \u2018Run Standard Document\u2019 to open up the ‘Client Search’ box, as displayed:<\/p>\n\n\n

          <\/p>\n\n\n\n

          To search for a client\u2019s file, enter in the Client and Matter numbers where specified and then select \u2018Search\u2019 to return a list of available templates. If the client reference is unknown, select the advanced search box next to the \u2018Matter No\u2019 Box to bring up the below panel.<\/p>\n\n\n

          <\/p>\n\n\n\n

          Enter the relevant details and\nthen click \u2018Search\u2019 to return a list of the search results. Right click on the\nrelevant search result and then click \u2018Select\u2019, this will return you to the\ninitial screen but the client reference and matter number will now be displayed.<\/p>\n\n\n\n

          Click the \u2018Search\u2019 button and this will list all available document templates for the selected matter.<\/p>\n\n\n

          To select a document, right click on the required document in the available list and then select the option to \u2018Run\u2019 which should then appear.<\/p>\n\n\n

          The document will now open in Microsoft Word.<\/p>\n\n\n\n

          To save your documents in a client\u2019s matter history, Click the \u2018Save\u2019 button on the Osprey Approach bar. You can now search for a client and matter to save the document on. Right click and select. The save window will then appear.<\/p>\n\n\n

          Enter a description and then click \u2018Save\u2019. <\/p>\n\n\n\n

          Now if you log into Osprey and view the matter history of that client, you will notice your document has now been saved.<\/p>\n\n\n\n

          Saving document to the matter history<\/p>\n\n\n\n

          You are also able to create and save a new document from a blank word template. <\/p>\n\n\n\n

          Open a word document in the normal way. Once you have finished work on it, select the \u2018Save\u2019 option on the Osprey Approach tab. You can then follow the above process to save your new document to the matter history<\/p>\n\n\n\n

          Opening document in the matter history<\/p>\n\n\n\n

          You are also able to open a document from a selected client\u2019s matter history by clicking the \u2018Edit Matter History\u2019 icon.<\/p>\n\n\n\n

          This will open up the client search screen. Enter the client reference and matter number if known, or use the advanced client search.<\/p>\n\n\n\n

          This search screen also offers various filters to refine the search results.<\/p>\n\n\n

          Details:<\/strong> Enter in the exact document description to return any\nmatches.<\/p>\n\n\n\n

          Date:<\/strong> Allows you to search history entries by a specific date or date range.<\/p>\n\n\n\n

          Click the \u2018search\u2019 button to bring through your results. Depending on the filter options used. You will see a list of matter history documents for the selected client and matter.<\/p>\n\n\n

          To open a document, right click it\nand click \u2018Select\u2019. The document will now open.<\/p>\n\n\n\n

          If you have made changes to a document opened using the \u2018Edit Matter History\u2019 button, click \u2018Save\u2019 and a panel will appear displaying the original document title.<\/p>\n\n\n

          Either accept and save, or, if you wish to create a new document, rename and save. Your document will have now have saved into the client\u2019s matter history.<\/p>\n\n\n\n

          Workflows<\/p>\n\n\n\n

          To load a Workflow, select the \u2018Workflows\u2019 icon under the Osprey Approach tab. The client search panel will open.<\/p>\n\n\n\n

          Either enter in the client reference and matter number if known, or use the advanced client search as explained earlier in this document<\/p>\n\n\n\n

          If you wish to load a client level workflow, ensure that you check the \u2018Client level Workflows\u2019 box, otherwise, select \u2018Load\u2019 to open a list of available workflows.<\/p>\n\n\n

          Right click a task to reveal a \u2018Run\u2019 button. (If you wish to view the content of a task prior to running it, click on the \u2018plus\u2019 sign to expand the content).<\/p>\n\n\n

          Click \u2018Run\u2019. The system will then work through all of the attached actions in turn. A screen will appear showing details of the action currently being performed.<\/p>\n\n\n

          <\/p>\n\n\n\n

          Click \u2018Next\u2019 after each action\nhas run until the task has been completed<\/p>\n\n\n\n

          You will then be returned to the workflow screen and any tasks that have been run will now be greyed out. (If you run any letters through an action, save through the Word Add-In in the same way as previously explained. Once saved, you will be returned to the next workflow action)<\/p>\n\n\n

          To untick a task, right click on a greyed out task and select the \u2018Untick\u2019 option to re-set it and make the task available to re-run.<\/p>\n\n\n

          <\/p>\n\n\n\n

          If a workflow has been set as\n\u2018customise at matter level allowed\u2019, you can delete a task from within a\nworkflow. Right click a task name and select the \u2018Delete\u2019 option. A warning\nwill appear asking you to confirm the deletion of the task.<\/p>\n\n\n\n

          Click \u2018OK\u2019 to continue, or\n\u2018Cancel\u2019 to return to the workflow.<\/p>\n\n\n\n

          To restore a previously deleted task, click the \u2018Workflow Status\u2019 button.<\/p>\n\n\n

          <\/p>\n\n\n\n

          The screen will show, in order,\nthe last time a workflow was amended. Click the remove option and the deleted\nstage will be re-instated.<\/p>\n\n\n\n

          Click \u2018Load at Position\u2019 if you\nwish to load a workflow into an existing workflow (this is dependent on the workflow\nbeing set as \u2018Customise at matter level allowed).<\/p>\n\n\n\n

          The top part of the screen displays any currently loaded workflows; the bottom part of the screen displays workflows that can be loaded into the existing one.<\/p>\n\n\n

          <\/p>\n\n\n\n

          Highlight the workflow you wish\nto load and then click Load. You may now select the position you wish the\nworkflow to appear in. Click \u2018OK\u2019 to load the workflow.<\/p>\n\n\n\n

          You are also able to remove a workflow using the add-in. Within the workflow screen, right click on the relevant workflow and select \u2018Remove\u2019.<\/p>\n\n\n

          Click \u2018OK\u2019 when prompted to confirm deletion and remove the selected workflow.<\/p>\n\n\n\n

          Using the Excel add-in<\/p>\n\n\n\n

          Once you have installed the Office add-in, you will notice an additional menu in Excel:<\/p>\n\n\n

          Click the Settings button. You will need to enter your Osprey URL here:<\/p>\n\n\n

          Once you have entered and saved the URL, click the Login button on the Osprey Approach menu and log in with your Osprey credentials.<\/p>\n\n\n\n
