Who is this guide for?<\/strong><\/p>\n

<\/i> System Supervisors<\/strong> and COLP\/COFA admins<\/strong><\/p> \n<\/div>\n\n\n\n

This guide will go through utilising the COLP and COFA functionality in Osprey<\/h2>\n\n\n\n

In addition to the COLP areas covered by worktypes, the following areas are available within the Case Management menu:<\/p>\n\n\n\n

  • Oaths<\/li>\n\n\n\n
  • Storage<\/li>\n\n\n\n
  • Fee Sharing & Referrals<\/li>\n\n\n\n
  • Introductions to Third Parties<\/li>\n\n\n\n
  • Equality and Diversity Breaches<\/li>\n<\/ul>\n\n\n\n

    Change the Access Template<\/p>\n\n\n\n

    To obtain full access to these areas, navigate to your \u2018Supervisor\u2019 tab and select \u2018System Setup\u2019. Go to \u2018Users\u2019 and then select \u2018Access Templates\u2019.<\/p>\n\n\n

    Within the \u2018Supervisor\u2019 area of the Access Template, ensure that the below check boxes for COLP\/COFA and \u2018List Management\u2019 are ticked.<\/p>\n\n\n

    <\/p>\n\n\n\n

    Now select the \u2018COLP\/COFA\u2019 option on the main list of template areas and select the \u2018Allow Area Access\u2019 link at the top. Ensure that the relevant areas of COLP\/COFA that you wish to use are ticked, then click \u2018Save\u2019.<\/p>\n\n\n

    Making use of COLP\/COFA<\/p>\n\n\n\n

    Once access has been enabled, relevant users will be able to access COLP List Management via an independent entry beneath Smart Actions:<\/p>\n\n\n

    <\/p>\n\n\n\n

    The screen shows all current lists, with one entry for each list item. Data available is Area Type, List Type, Value, Created Date, Created by, Last Modified Date and Last Modified By.<\/p>\n\n\n

    <\/p>\n\n\n\n

    Columns can be dragged to resize, can be sorted into ascending or descending order and can be hidden or shown as required.<\/p>\n\n\n\n

    New items can be added to a list, and lists can be edited, cloned and deleted. List Management is available for all COLP lists, except where the content is pre-defined.<\/p>\n\n\n\n

    To add a new list, click on ‘New’ at the top of the screen.<\/p>\n\n\n

    Now select ‘Area Type’, then choose a ‘List Type’. Please note that there is no option for Fee Sharing and Referrals as all the lists here are pre-defined.<\/p>\n\n\n

    Then type in the text required into the Value field, and Save. Repeat as required.<\/p>\n\n\n\n

    In terms of user level access to COLP\/COFA, the tab is available on the left-hand menu.<\/p>\n\n\n

    <\/p>\n\n\n\n

    Please note that if the tab does not appear, it is likely that your access template does not allow you to view this area of Osprey. Please contact your system supervisor to arrange access.<\/p>\n\n\n\n

    The COLP\/COFA functionality offers a number of search and filter options which may be new to users. The details below apply to all COLP areas.<\/p>\n\n\n\n

    Click at the far right of any search field to reveal Filter Options. Each Search can be set up with individual filter options, if required:<\/p>\n\n\n

    <\/p>\n\n\n\n

    Select \u2018Filter On\u2019 will allow you to select the option for \u2018Keyup\u2019, which means that the filter can be set to operate as soon as characters are typed into the search box, or \u2018Enter Key\u2019, which will only operate upon clicking \u2018Enter\u2019 on your keyboard.<\/p>\n\n\n

    <\/p>\n\n\n\n

    The \u2018Filter Type\u2019 area allows you to select an \u2018Exact Filter\u2019 to match the typed text exactly, or the \u2018Starts With\u2019 filter in which you can add the start of your text, then search.<\/p>\n\n\n\n

    \u2018Expression Filter\u2019 looks for patterns in text data \u2013 the use of * means \u201cmatch zero or more of the following characters\u201d \u2013 eg th<\/em>d* would return results for \u201cThird Party Introductions\u201d as well as \u201cOaths Administrator\u201d.<\/p>\n\n\n

    Clicking on the \u2018Oaths\u2019 heading will reveal all records on the database. Clicking on a particular record will bring up the details for this particular record on the right-hand side of the screen.<\/p>\n\n\n

    Alternatively, right-click on one of the available records and click ‘View’ to bring up the details panel.<\/p>\n\n\n\n

      When the report is run, ‘Yes’ results show as ‘True’. ‘No’ results show as ‘False’ and ‘Not Applicable’ results show as blank.<\/p>\n\n\n\n
